Two ways. Online payments by EcoCash, card or bank transfer come through NuPay’s API link to the payment gateway, so the gateway tells NuPay which invoice was paid the moment the payment succeeds. Bank deposits come through the bank feed, where NuPay reads the reference, the payer’s name, the class and the amount and compares them with the open invoices. Most payments are matched on their own. Anything it isn’t sure about is queued with a suggestion for you to confirm.
It waits for you in the bank feed. Search the parent’s name, pick the invoice and post. One transaction can also be split across several students or invoices.
Yes. Record the amount against the invoice and it shows as Partial with the balance still due. The parent can pay the rest at the desk or online.
The extra becomes a student credit. It is never counted as fee income, and you apply it to a later invoice, oldest credit first.
Yes. The student statement shows everything invoiced, paid, credited and still due, as a dated list, and can be printed.
A/R ageing shows who owes what and how late, in 1–30, 31–60, 61–90 and 90+ day buckets, filtered by class, term and department. Drafts and voided invoices are left out, so you are only chasing real money.
