How NuPay handles personal information: what we hold, why we hold it, who we share it with and what your rights are.

1. Who we are

NuPay is school accounting and fee management software operated by NuClass Pvt Ltd, 603 Fidelity Building, Cnr 11th Avenue and Fife Street, Bulawayo, Zimbabwe (“NuPay”, “we”, “us”). This policy explains what personal information we handle, why, and what your rights are.

It covers this website (nupay.co.zw), the NuPay application and NuClass, our student management system, where a school uses it together with NuPay.

2. Our role: the school decides, NuPay processes

Most of the personal information in NuPay belongs to schools. A school that uses NuPay decides which students, parents and staff are recorded and what the information is used for. In data protection terms the school is the data controller and NuPay is its data processor: we handle that information on the school’s instructions, to provide the service.

If you are a parent, guardian or student and have a question about your information, your school is the right first contact. We will help the school respond.

NuPay is the data controller for a smaller set of information: the details of people who visit this website, ask for a demo, or hold a NuPay user account on behalf of a school.

3. Information we handle

On behalf of schools

  • Student details: name, Student ID, class, level, session, and boarding or day status.
  • Parent and guardian details: name, phone number, email address and relationship to the student.
  • Fee information: invoices, payments, credits, balances and statements.
  • Bank and payment transaction details: date, amount, currency, reference and narration, used to match a payment to a student and invoice.
  • Where the school uses NuClass: attendance and exam records.

From school staff who use NuPay

  • Name, work email address, role and permissions.
  • A record of actions taken in the system, kept as an audit trail.

From visitors to this website

  • Details you give us when you book a demo or contact us: name, school, role, email address and phone number.
  • Basic technical information sent by your browser, such as device type and pages visited.

4. What we do not collect or hold

  • Card and wallet details. When a parent pays online, card numbers and mobile-wallet PINs are entered with the payment gateway, not with NuPay. We receive the result of the payment, not the card.
  • School funds. NuPay never holds a school’s money. Payments settle in the school’s own bank account.
  • Banking passwords. A bank connection gives NuPay transaction information for the accounts the school has authorised. It does not give us the ability to move money.

5. How we use information

  • To provide the service: raising invoices, matching payments, keeping the ledger, producing reports and updating student and parent portals.
  • To secure the service: signing users in, applying role permissions and keeping an audit trail.
  • To support schools: answering questions and fixing problems.
  • To run our business: billing schools for their subscription and meeting our legal obligations.
  • To respond to people who contact us or ask for a demo.

We do not sell personal information, and we do not use student or parent information for advertising.

7. Who we share information with

We share personal information only where it is needed to provide the service:

  • The school the information belongs to.
  • The school’s bank, to receive transaction information for the accounts the school has authorised.
  • The payment gateway, to start an online payment and receive its result.
  • Service providers who host and operate the system for us, under contracts that require them to protect the information: Amazon Web Services (hosting), and Web3Forms, which delivers the demo requests sent through this website to our email.
  • Authorities, where the law requires it.

8. Where information is stored

NuPay is hosted on Amazon Web Services in its Africa (Cape Town) region, in South Africa. Where information is stored or processed outside Zimbabwe, we take the steps the law requires to keep it protected.

9. How long we keep it

We keep a school’s information for as long as the school uses NuPay. Financial records are kept for the period the school is required by law to retain them. When a school stops using NuPay, it can export its records, and we delete or return the information within 90 days, unless the law requires us to keep it longer.

Demo and contact enquiries are kept for up to 12 months.

10. How we protect it

  • Access is limited by role, so a user sees only what their job requires.
  • Actions in the system are recorded in an audit trail.
  • Information is encrypted in transit (TLS 1.2 or higher) and at rest (AES-256).
  • Signing in requires a second step as well as a password.
  • The system is backed up every day, and backups are stored encrypted.

No system is perfectly secure. If a breach affects your information, we will notify the school and the Data Protection Authority within 24 hours of confirming it, and help the school inform the people concerned.

11. Your rights

Under the Cyber and Data Protection Act you have the right to:

  • be told what personal information is held about you and how it is used;
  • ask for a copy of it;
  • ask for it to be corrected if it is wrong;
  • ask for it to be deleted where there is no lawful reason to keep it;
  • object to how it is being used; and
  • complain to the Data Protection Authority.

The Data Protection Authority in Zimbabwe is the Postal and Telecommunications Regulatory Authority of Zimbabwe (POTRAZ).

12. Children’s information

NuPay holds information about students because their school has entered it. Students do not create NuPay accounts through this website, and parents do not need an account to pay an invoice. The school is responsible for having a lawful basis, including any parental consent the law requires, for the student information it records.

13. Cookies

This website uses only the cookies and local storage needed for it to work. We do not use advertising cookies.

The NuPay application uses cookies to keep you signed in and to keep your session secure.

14. Changes to this policy

We will update this page when our practices change and revise the date at the top. If a change is significant, we will tell the schools that use NuPay.
