Parents check the balance, pay what is owed and register their child for the new term from a phone. NuPay knows who has paid, NuClass knows who the student is, and the two together clear and register a student in minutes, by the rule your school sets.
The queue on registration day is three steps done by hand, one family at a time: fee verification, clearance approval, student confirmation. Many schools put software on top of that sequence. NuPay redesigns it, because the system already knows the answer to the first two.
No visit to the school. The same flow works at a registration desk for families who prefer to come in.
The student or parent enters the Student ID. It is the same ID in NuClass and in the accounts, so the system brings up the full name, class, level, department and boarding or day status.
NuPay checks every charge on the account against the school’s rule and answers at once: cleared, or not cleared with the amount outstanding and how to pay.
The family confirms personal details, class placement, boarding or day status, subjects where they apply, and contact information.
The student is registered. The system issues a registration number and a registration slip with a QR code, and sends confirmation by SMS and email.
The school sets what “cleared” means. NuPay applies it to every student the same way, the moment they log in.
“Eligible for registration.” The student proceeds automatically. Here the school asks for 80% of fees, the family has paid 85%, and the balance stays on the account.
The parent sees the amount outstanding, the age of the debt and the payment options. Registration is blocked unless authorised, and unlocks by itself when the payment lands.
Register only when nothing is owed.
For example, 80% of the term’s fees paid, with the balance due later.
Clear on tuition and levies, while a trip or camp fee is settled separately.
Each one is an invoice in NuPay, so it is already on the student’s account when the clearance check runs.
One master invoice for a whole class, form or boarding cohort.
Billed to the students who take the programme.
Assigned to the students going, by class or by name.
Invoiced per student, paid in instalments if the school allows.
Raised for the holiday session and tracked like any other term.
A one-off invoice to the one student responsible.
Sports, library, ICT or anything the school sets.
Overpayments are held as credit and count towards clearance.
A payment plan, a bursary, a family the head has spoken to. The right person can override a block, and the system records who did it, when, and what changed.
Management doesn’t wait for the end of registration week to find out how it went.
Who owes what and how late it is, in Current, 1–30, 31–60, 61–90 and 90+ day buckets, by department and term, reconciled to the ledger.
Credit balances and overpayments, shown beside what is owed and never netted into it, with where each credit was applied.
Registered, pending and cleared counts, outstanding fees and collection rate, by class and level, as the numbers move.
Most registration projects are an integration project first: get the school management system and the accounts to agree. NuPay and NuClass are built as one ecosystem, so that part is done.
No long queues, faster registration, and a clear view of what is owed and why.
No manual verification at the window, and debt that is managed by age, not by memory.
Better reporting, real-time monitoring and stronger controls over who is let through.
A better experience for families, better cash-flow visibility and a digital audit trail.
That is the school’s decision. You set the clearance rule: fully paid, a percentage of fees such as 80%, or chosen charges only. A student who meets the rule is cleared automatically, and the balance stays on their account.
The amount outstanding, the age of the debt and the payment options. They can pay online by EcoCash, card or bank transfer, and registration unlocks by itself once the payment lands.
Every charge on the student’s account: tuition, skills programme, camp, international trip and holiday school fees, property damage charges and any other special levies. Each one is an invoice in NuPay.
Only the roles the school authorises, such as the bursar or the head. Every override is recorded with the user, the time, the old value, the new value and the reason.
NuPay is built as one ecosystem with NuClass, its own student management system, so students, classes and balances are already synchronised. If your school runs a different system, talk to us about integration.
No. They can check the balance, pay and register from a smartphone, tablet or laptop. Families who prefer to come in can be registered at a desk using the same flow.
A registration number and a registration slip with a QR code, with confirmation by SMS and email. The QR code can be used for hostel check-in, classroom allocation and attendance verification.
Anything paid above what is owed is held as credit on the student’s account. It counts towards clearance and is applied to the next invoice.
Tell us your clearance rule. We’ll show you a student going from balance check to registered in under five minutes.
